Each Trello board becomes a Kaneo project. Read Import from other tools first for the rules that apply to every import.

Before you start

You need:
  • To be an admin of the Kaneo workspace you are importing into.
  • A Trello account that can see the boards you want to move.
Trello never shares other people’s email addresses, so Kaneo matches card members by full name instead, ignoring case. A card is assigned only when exactly one workspace member has the same full name as the Trello member. Invite your team first and make sure their names in Kaneo match their names in Trello.

Connect

  1. In Kaneo, open Settings → Workspace → Import and choose Trello.
  2. Click Authorize on Trello. Trello opens in a new tab and asks for access.
  3. Click Allow. Trello shows a token.
  4. Copy the token and paste it into Kaneo.
  5. Select the boards to import. Leave comments on, or turn them off.
  6. Start the import. You can leave the page while it runs and check Recent imports later.
The token is read-only and expires after a day. If the form asks for a Trello API key as well, your instance has no Trello app configured. Ask the operator to set it up (see below), or paste your own key: create a Power-Up at trello.com/power-ups/admin, open Authorization, then Trello Auth, and click Generate a new API key. Paste the key into the form before you click Authorize on Trello.

What carries over

What doesn’t

  • Attachments. Download anything you need from Trello before you stop using it.
  • Custom fields.
  • Power-Up data.
  • Stickers.
  • Priorities. Trello has none, so imported tasks have no priority.
  • Extra members. Kaneo has one assignee per task. Only the first member is kept, and the report says how many cards had more than one.

Set up Trello on a self-hosted instance

The Authorize on Trello button needs a Trello API key on the Kaneo API. Without it, each user has to paste their own key in the form. To set it up once for everyone:
  1. Sign in to Trello and open trello.com/power-ups/admin.
  2. Create a new Power-Up for your Kaneo instance.
  3. In the app’s sidebar, under Authorization, open Trello Auth and click Generate a new API key. You don’t need the OAuth 2.0 tab, its scopes, or the client ID.
  4. Set TRELLO_API_KEY to that key in the API environment, for example in your .env, then recreate the container.
Kaneo only sends the authorize link that contains this key to workspace admins who start a Trello import. The key identifies the app and grants no access by itself; each user approves access with their own token. Kaneo does not need the Power-Up’s secret, so never set it. See environment variables.

Troubleshooting

The token is rejected: tokens expire after a day. Click Authorize on Trello again and paste the new token. A board is missing from the list: only open boards are listed. Reopen a closed board in Trello to import it. The form asks for a Trello API key: TRELLO_API_KEY is not set on the API. Paste your own key, or ask the operator to set it. See Set up Trello on a self-hosted instance. Tasks are unassigned: the member’s full name in Trello must match exactly one member’s name in the Kaneo workspace. Fix the name or invite the person, delete the imported project, and import it again. You can also assign the tasks by hand.
