Instance administrators manage the whole Kaneo instance, not just the workspaces they belong to. The first account created on a new instance becomes an instance administrator, and an administrator can give the role to others from User management. Both pages live under Settings → Administration and are only visible to instance administrators.

Manage users

Open Settings → Administration → User management to search every account on the instance. From a user’s menu you can edit their name, email, and instance role, deactivate or reactivate the account, or delete it. Deleting someone who is the only owner of a workspace that still has other members is blocked. Transfer that workspace’s ownership first, as described below.

Manage workspaces

Open Settings → Administration → Workspace management to see every workspace on the instance with its owners, member count, and project count. Open a workspace to manage its members. You don’t need to be a member yourself. From the members list you can:
  • Transfer ownership. Choose Make owner on a member. They become the only owner, and previous owners become admins. Use this when an owner leaves the organization.
  • Change a role. Pick a built-in role (viewer, member, admin) or one of the workspace’s custom roles.
  • Remove from workspace. Their account stays; they only lose access to this workspace.
  • Add member. Add any existing account to the workspace with a role. They start with access to every project.
  • Change project access. Use the member’s Projects entry to limit them to selected projects, the same way workspace admins can from Members. See Members and roles.
The only owner can’t be removed or given another role. Transfer ownership to someone else first.
