# Import from another Kaneo instance

> Copy projects between Kaneo instances, for example from Kaneo Cloud to a self-hosted instance or back.

Use this to move projects between Kaneo instances, for example from Kaneo Cloud to your own server, or from your server to Kaneo Cloud. Each project you select becomes a new project in the workspace you import into. Read [Import from other tools](/docs/core/migrations.md) first for the rules that apply to every import.

## Before you start

You need:

* To be an admin of the Kaneo workspace you are importing into.
* The URL of the other instance, for example `https://cloud.kaneo.app`.
* An API key created on the other instance. Sign in there and open **Settings → Account → API keys**.

Invite your team to the workspace you are importing into first. Assignees are matched by email, so anyone who isn't a member yet will have their tasks imported unassigned.

## Connect

1. On the instance you are importing into, open **Settings → Workspace → Import** and choose **Another Kaneo**.
2. Paste the other instance's URL and the API key you created there.
3. Select the projects to import. The list includes projects from every workspace the key can see. Leave comments on, or turn them off.
4. Start the import. You can leave the page while it runs and check **Recent imports** later.

## What carries over

| Other instance | This instance |
| - | - |
| Project | Project |
| Project key, for example `WEB` | Project key. If another project in the workspace uses it, Kaneo adds a suffix, for example `WEB-2`. Characters other than letters and digits are dropped, so `MY-APP` becomes `MYAPP` |
| Columns | Columns |
| Tasks, including planned and archived ones | Tasks, still planned or archived |
| Task numbers | Task numbers, so `WEB-12` stays `WEB-12` |
| Priority | Priority |
| Dates | Dates |
| Labels | Labels |
| Assignee | Assignee, matched by email |
| Comments | Comments, with the original author's name and date |
| Task relations within the project | Task relations |

## What doesn't

* **Custom fields.**
* **Time entries.**
* **Attachments.** Images and files in descriptions and comments still point to the other instance and may not display. Download any files you need from the other instance first.
* **Task relations to tasks in other projects.**
* **Integration links on tasks**, such as linked GitHub issues.

Project integrations and other project settings are not copied. Set them up again after the import.

## Troubleshooting

**The key is rejected**: check that you created the key on the instance whose URL you entered, and that it hasn't been revoked.

**A project is missing from the list**: the key has the same access as the account that created it. If that account is limited to selected projects in a workspace, only those projects are listed.

**The other instance can't be reached**: the instance you import into must be able to reach the other one over the network. Kaneo Cloud can't import from a self-hosted instance that is only reachable inside your network. Between two self-hosted instances on a private network, the operator of the importing instance must set `KANEO_ALLOW_PRIVATE_WEBHOOK_DESTINATIONS=true`. See [Self-hosted instances](/docs/core/migrations.md#self-hosted-instances).

**Tasks are unassigned**: the assignee's email must match a member of the workspace you import into. Invite them, delete the imported project, and import it again, or assign the tasks by hand.
